Solo CRM Pro Privacy Policy

1. Introduction
This Privacy Policy describes how Solo CRM Pro ("the App"), developed and published by ISD Dynamics, operating under the trademark of intellismartdigital ("we," "our," or "us"), collects, uses, stores, and protects information when you use our desktop application distributed through the Microsoft Store.
Solo CRM Pro is designed with a local-first, privacy-by-design architecture. Your data is stored on your local device and is not transmitted to our servers. We are committed to transparency about exactly what data the App does and does not access.
2. Data Storage — Local-First Architecture
Solo CRM Pro stores all user-created data locally on your Windows device. This includes:
- Contacts, companies, and associated custom fields
- Deals, pipeline stages, and deal history
- Communication logs (call logs, SMS history, email records)
- Reminders, calendar entries, and notes
- Application settings, theme preferences, and templates
- SMTP and Twilio configuration credentials
This data is never transmitted to ISD Dynamics servers. We do not operate cloud infrastructure for Solo CRM Pro. We have no ability to access, view, or retrieve your locally stored data.
3. Data Encryption
Sensitive data stored by Solo CRM Pro, including third-party service credentials (SMTP passwords, Twilio API keys), is encrypted using the Windows Data Protection API (DPAPI). DPAPI ties encryption to your Windows user account, meaning the data can only be decrypted by the same user on the same device.
4. Data We Do NOT Collect
Solo CRM Pro does not collect, transmit, or store any of the following on external servers:
- Personal information or contact data you enter into the App
- Usage analytics or telemetry data
- Device identifiers, hardware IDs, or fingerprinting data
- Location data
- Browsing history or app usage patterns
- Crash reports (unless you explicitly submit one via the support form)
- Advertising identifiers
5. Third-Party Services
Solo CRM Pro optionally integrates with the following third-party services at the user's discretion. These integrations are entirely optional and require the user to provide their own credentials:
5.1 Twilio (SMS & Voice Calls)
If you choose to enable SMS and calling features, Solo CRM Pro connects to Twilio's API using your own Twilio account credentials. Communication data (call metadata, SMS content) is transmitted between your device and Twilio's servers. Solo CRM Pro stores a local copy of communication logs on your device. ISD Dynamics does not receive or have access to your Twilio account or communications.
5.2 SMTP Email
If you choose to send emails from within Solo CRM Pro, the App connects to your configured SMTP server using credentials you provide. Email content is transmitted between your device and your email provider's server. ISD Dynamics does not receive or have access to your email credentials, email content, or email metadata.
5.3 Microsoft Store
Solo CRM Pro is distributed through the Microsoft Store. Microsoft may collect standard store-related data (purchase history, installation data) in accordance with the Microsoft Privacy Statement. ISD Dynamics receives anonymized, aggregate sales data from Microsoft but no personally identifiable information about individual purchasers.
6. Internet Connectivity
Solo CRM Pro requires internet connectivity only for the following optional features:
- Sending and receiving SMS messages (via Twilio)
- Making and receiving phone calls (via Twilio)
- Sending emails (via your SMTP server)
- Checking for application updates (via Microsoft Store)
All core CRM functionality — including contact management, deal pipeline, reminders, calendar, and reports — works entirely offline without any internet connection.
7. Data Retention & Deletion
Since all data is stored locally on your device:
- Retention: Data persists on your device for as long as you choose to keep it. Solo CRM Pro does not impose data retention schedules.
- Deletion: You may delete individual records (contacts, deals, etc.) at any time from within the App. Uninstalling Solo CRM Pro will remove the application and its locally stored data from your device.
- Export: You may export your contacts and data via CSV at any time.
Because we do not store your data on our servers, we cannot delete data on your behalf. You have full control over your data at all times.
8. Data Sharing
Solo CRM Pro does not share your data with ISD Dynamics or any third party. The only data transmissions that occur are:
- Communications you explicitly initiate through Twilio (SMS, calls) or SMTP (emails)
- Standard Microsoft Store interactions for licensing and updates
We do not sell, rent, trade, or otherwise transfer your personal information to any third party.
9. Children's Privacy
Solo CRM Pro is a business productivity application not directed at children under the age of 13 (or the applicable age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. Since the App stores data locally and we do not collect user data, there is no mechanism through which children's data could be transmitted to us.
10. Security
We implement the following security measures within Solo CRM Pro:
- DPAPI Encryption: Sensitive credentials (API keys, passwords) are encrypted using Windows Data Protection API, tied to your Windows user account.
- Local Storage Only: No cloud servers means no server-side data breaches can expose your CRM data.
- No Telemetry: No background data collection or transmission reduces your attack surface.
- Secure Communication: All third-party API calls (Twilio, SMTP) use TLS/SSL encrypted connections.
The security of your local device (Windows login, disk encryption, antivirus) is your responsibility. We recommend keeping your Windows operating system updated and using a strong Windows account password.
11. Your Rights
Because Solo CRM Pro is a local-first application that does not collect or store your data on external servers, many traditional data subject rights (access, deletion, portability) are inherently fulfilled by the architecture of the App:
- Right to Access: All your data is stored locally and accessible to you at all times within the App.
- Right to Deletion: You can delete any data within the App or uninstall the App entirely.
- Right to Portability: You can export your data via CSV at any time.
- Right to Rectification: You can edit any record in the App at any time.
If you have exercised any rights related to data transmitted to third-party services (Twilio, your email provider), please contact those providers directly using their respective privacy policies.
12. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in the App's functionality or applicable regulations. Updates will be posted on this page with a revised "Last updated" date. For material changes, we will also include a notice within the App. Continued use of Solo CRM Pro after changes are posted constitutes acceptance of the revised policy.
13. Microsoft Store Compliance
This Privacy Policy complies with the Microsoft Store Policies, including requirements for:
- Disclosure of data collection practices (Section 10.5)
- Privacy policy accessibility from the App's store listing and within the App
- Accurate representation of the App's data handling capabilities
- Compliance with applicable privacy laws in all markets where the App is distributed
